Subject: Entry of “Part B” IFSPs for Summer Birthday Children Source: Bill Connelly, Planner, Data Coordination Intended Audience: SPOE Directors, Service Coordinators, Consultants
Date: May 1, 2007
Below is a list of instructions for entering Part B IFSPs into the WebSPOE for Summer Birthday Children. These are the same guidelines that were distributed last year. Due to provider travel reimbursement and other issues, the subject of Part B IFSPs and their requirements for the web system has not yet been addressed by DESE and Covansys. The procedure outlined below will continue for the current year.

Data entry for “Part B” IFSPs covering children turning three during the summer months
I. Basic Business Rules:
II. Step by Step Instructions
III. Potential Problems:
If you need an annual meeting for a summer birthday child after he/she turns 2 ½, and the child is eligible for Part B, you want to develop the Part B IFSP at that time (before the child’s third birthday). Be sure that Part B eligibility has been determined.
If the last meeting for the child was an annual meeting, you can’t have another annual meeting until you’ve had a six-month review. If you have this situation, you will need to enter a “dummy” six-month review. This is the step we hope to eventually correct in the web system.
You cannot create a Part B IFSP and a Compensatory IFSP at the same time. For summer birthday children moving to Part B when school starts, create a Part B IFSP. If some of the services on the IFSP are compensatory services, mark the individual services as compensatory and not the entire IFSP. If the child needs compensatory services beyond September 8, you probably need to create a Compensatory IFSP. This will require a separate IFSP document as the Part B IFSP cannot extend beyond September 8th. |
